Who is responsible for your information?

Information collected

Depending on how you use the shop, information may include your name, email address, phone number, delivery and billing address, order contents, personalisation instructions, requested deadline, proof preference, bespoke brief, budget range, uploaded photographs or artwork, payment and order references, correspondence, and basic technical information needed to operate and secure the website.

Card details are entered directly into Stripe Checkout. Curtis Smith Shop does not receive or store your full card number.

To assess bespoke requests, prepare quotes and discuss artwork or proofs.
To prevent fraud, misuse and technical problems.
To keep accounting, tax, transaction and customer-service records.

Information needed to provide a quote, process an order and fulfil a purchase is generally used because it is necessary to take steps at your request or perform a contract. Some records are kept to meet legal obligations. Consent is used where the law specifically requires it and may be withdrawn for future processing.

Service providers and sharing

Information is shared only where needed with service providers that help operate the shop, including Cloudflare for website hosting, database and private file storage; Stripe for payment processing; email providers used for order messages; and delivery providers used to send goods. Information may also be disclosed where required by law, to professional advisers, or to protect legal rights.

These providers process information under their own terms and privacy arrangements. Some may process information outside the United Kingdom; where this happens, appropriate legal safeguards are relied upon.

Uploaded files

Customer artwork and reference files are stored privately and are not intended to be publicly accessible. They are used only to assess, prepare, produce and support the relevant order or request. Do not upload material you do not have permission to use.

How long information is kept

Completed orders and transaction records: normally up to six years after the end of the relevant financial year, where needed for accounting, tax, warranty, complaint or legal purposes.
Order artwork and reference files: normally up to 12 months after fulfilment, unless they are needed longer for an ongoing query, repeat work requested by you, or a legal obligation.
Bespoke requests that do not become orders: normally up to 90 days after the last meaningful contact.
Failed or abandoned submissions: removed when no longer reasonably needed for security, troubleshooting or fraud prevention.

Information may be kept longer where a dispute, investigation or legal requirement applies, and may be deleted sooner when it is no longer needed.

Your rights

Depending on the circumstances, you may have rights to ask for access to your personal information, correction, deletion, restriction, objection, or transfer of information you supplied. You may also withdraw consent where processing depends on consent. These rights are not absolute; legal record-keeping or other lawful reasons may require some information to be retained.
